Project Update: Boardroom Upgrade for Local PLC Office Nears Completion

At AV Xpert, we pride ourselves on delivering thoughtfully designed, bespoke audio-visual solutions that enhance how organisations operate. We’re delighted to share a project update on a boardroom upgrade we’ve recently been working on for a local PLC client – a project that is now nearing completion.

The system delivers a rich user experience through premium audio and visual components, while remaining intuitive and straightforward to use. For an organisation of this scale, it is vital that users can step into the space and feel instantly confident using the technology, even on their first use.

From Consultation to Concept

Every successful AV project starts with understanding how a space is used and what the client truly needs. Following an initial consultation and detailed site survey, our team worked closely with the client to design a solution tailored specifically to their boardroom, workflows, and corporate standards.

Clear communication was key throughout this process. By collaborating at every stage, we ensured the final design not only met the technical requirements but also aligned seamlessly with the client’s expectations.

We aimed to create a boardroom that is intuitive to use, visually impressive, and capable of supporting a variety of meeting scenarios whilst offering simplicity for the end user.

A Fully Integrated AV Ecosystem

For this project, we designed and installed a fully integrated Q-SYS AV ecosystem. At the centre of the ecosystem is the Q-SYS Core 110f-V2, a cutting-edge audio, video, and control processor designed to streamline and enhance the integration of AV systems. Offering a fully integrated solution, it brings together audio, video, and control capabilities into one cohesive platform, simplifying operations and reducing the need for multiple systems.

Its seamless integration with other Q-SYS products, such as cameras and speakers, as well as complete compatibility with third-party devices such as microphones, displays and other AV accessories, ensured seamless integration and versatility.

Visual Excellence and Intelligent Camera Control

For visual presentation and collaboration, the boardroom features two Philips 75” 4K UHD commercial displays. These large-format displays deliver exceptional clarity, for presentations and video calls.

Positioned neatly beneath each display are two 4K Q-SYS PTZ cameras. These cameras provide high-quality video capture with smooth pan, tilt, and zoom functionality, making them perfect for video calls.

High-Quality Audio

Audio performance is arguably one of the most important aspects of any boardroom AV system. For this project, we installed a variety of microphone options and acoustic treatments, to give enhanced audio clarity:

The room is equipped with two pairs of Q-SYS ceiling speakers, delivering even coverage and natural sound throughout the space.

The result is crystal-clear audio for both in-room participants and remote attendees.

Controlling the System

Simplicity and elegance were central to our design ethos. Users should be able to walk into the room and start a meeting without technical barriers - and this system delivers exactly that.

A PIR sensor detects when someone enters the room and automatically powers the system on, as well as switching on the lighting in the room.

The main control interface is a wall-mounted 10” Q-SYS touch screen control panel, featuring customised UI and UX design, featuring our client’s branding. From this panel, users can select one of three meeting modes:

  1. Microsoft Teams Rooms (default option)
  2. ClickShare BYOD (USB-C dongle)
  3. Wired BYOD (USB-A and HDMI for older laptops)

This flexibility ensures the room can adapt to any meeting preference or device type, and supports all video conferencing software options.

Users can also adjust volume levels, camera presets and control the brightness of the ambient lighting directly from the wall-mounted control panel.

Complementing this is a Logitech Tap controller located on the boardroom table. This allows users to join and manage Teams meetings effortlessly, and also provides the option to make adjustments during video calls, such as microphone levels and camera presets. It can also act as a secondary Q-SYS control panel for room settings, if required.

Room Management and Finishing Touches

Outside the boardroom, a Yealink RoomPanel has been installed next to the meeting room door. This room booking panel displays room availability in real time and allows staff to book ad-hoc meetings on the spot, improving room utilisation and reducing scheduling conflicts.

To maintain a clean and refined aesthetic, we installed a custom walnut credenza, which houses the Q-SYS processor and associated equipment discreetly. This is complemented by walnut acoustic panelling, providing a premium finish and enhancing the acoustic performance of the space.

A Boardroom Built for Modern Collaboration

Our aim for this room is to create a user-friendly, elegant space, with a rich feature set. Users can walk in, the system powers on automatically, and they can join a Teams meeting or switch to BYOD modes as required, quickly and easily. The Q-SYS Core 110f-V2 processor ensures every component works together, delivering exceptional audio and video quality for the users.
