Enterprise Collaboration Space AV Installation

As part of a wider programme of audio-visual upgrades across 25 meeting rooms within the headquarters of a large multi-national corporation near London, AV Xpert was commissioned to design and install an enterprise-grade integrated AV solution for a flexible collaboration space.

Designed to support presentations, training, and collaborative meeting formats, this space required a high-performance, scalable AV solution capable of adapting to different room layouts and communication scenarios.

Overview

The client required a modern solution capable of supporting both Microsoft Teams Rooms and Bring Your Own Device (BYOD) workflows, enabling the use of alternative video conferencing platforms and local presentations. The space needed to accommodate a wide range of use cases, from internal collaboration sessions to hybrid meetings with remote participants, and was designed to deliver reliable performance, operational flexibility, and an intuitive user experience that supports effective communication.

To support different room layouts and presentation styles, the solution incorporated a multi-display configuration with two large-format displays on the long wall and one on the short wall. Through integrated content switching and a central control interface, users can route presentation material and meeting content to specific screens, allowing the room to function effectively regardless of seating arrangement and enabling presenting from both the long and short wall positions. Consistent, high-quality audio and video performance was also prioritised to ensure clear communication for all participants.

AV Xpert worked closely with the client throughout the design process to understand operational workflows and user requirements, ensuring the final system aligned fully with their technical standards and long-term objectives.

Control System and Operation

The room is powered by a Q-SYS integrated control system, providing centralised management of audio, video, cameras, and displays from a single platform. A large 10" wall-mounted touchscreen serves as the primary control interface, featuring a fully bespoke, custom-designed user interface built around the client’s branding and operational requirements. The interface was designed for simplicity, allowing users to quickly select meeting modes, route content to displays, adjust audio levels, and configure the room for different layouts and use cases.

A Logitech Tap table-top controller was also installed to provide direct control of Microsoft Teams meetings, enabling users to join calls, manage participants, and make adjustments during sessions. Together, these control interfaces deliver a consistent and intuitive user experience, ensuring the space can be configured easily for multiple meeting formats with minimal setup time.

Displays

The room features three 86” 4K UHD commercial displays, with two positioned along the long wall and one on the short wall, ensuring clear visibility for presentations, shared content, and video conferencing across different room layouts. The large-format, high-resolution screens enhance engagement and ensure content can be viewed clearly from all seating positions, supporting both collaborative and presentation-led sessions.

The system also allows flexible content routing, enabling displays to show either duplicated content or different sources as required. During Microsoft Teams meetings, users can choose which displays show presentation material and which show remote participants, providing greater clarity and a more natural meeting experience for all attendees.

Cameras

Two Q-SYS PTZ cameras were installed to provide full room coverage, delivering high-quality video with smooth pan, tilt, and zoom control to ensure presenters and participants are always clearly framed. Camera presets can be recalled instantly for different meeting scenarios, while auto-framing can be enabled or disabled as required, allowing meetings to run smoothly without the need for manual adjustment during the session. The cameras were strategically positioned to capture both the presenter position and the in-room audience, regardless of which presentation position is in use.

Audio

Voice capture is delivered via beamforming ceiling array microphones, providing discreet and accurate speech pickup across different seating configurations without the need for table microphones. This ensures remote participants can clearly hear in-room contributors from any position within the space.

A lapel microphone and handheld microphone were also provided for presenter use, offering local voice reinforcement and enhanced clarity for remote audiences during presentations.

Eight ceiling speakers, powered by a dedicated amplifier, provide even sound distribution throughout the room, ensuring in-room participants can clearly hear both local presenters and remote contributors.

The Results

The collaboration space now provides a high-performance environment that supports multiple meeting scenarios and flexible room layouts. With all core equipment installed within the ceiling and on the walls, the system requires no physical reconfiguration when the room layout changes. Instead, users can quickly adapt the space for different meeting formats through simple configuration from the touchscreen control panel.

Users can switch seamlessly between Microsoft Teams Rooms and BYOD operation, enabling consistent and reliable meeting experiences. Integrated audio, video, and control systems work seamlessly in the background to provide clear communication, improved engagement, and simplified operation, delivering a professional collaboration environment aligned with enterprise workplace standards.
