Your Event Production Team in Cambridge

More of our events happen in Cambridge than anywhere else

AV Xpert provides event production and AV hire in Cambridge for conferences, awards ceremonies, college events, product launches and private celebrations. Our warehouse and team are based in Huntingdon, around 30 minutes away, so we know the city, its venues and its access challenges well.

Whether you need a microphone and a screen for a meeting or a full technical production with staging, lighting, cameras and a live stream, we plan it with you, deliver it, run it on the day and take it all away afterwards.

Venues we work at regularly include The Cambridge Belfry, the Granta Centre, Madingley Hall, the Møller Institute, The Pitt Building, Childerley Long Barn and the Cambridge University Arms, as well as colleges right across the University of Cambridge. Clients include Cambridge United Foundation, the Cambridgeshire Chamber of Commerce and Cambridge Regional College.

Conferences and Hybrid Events in Cambridge

For audiences in the room and online

Cambridge hosts a busy calendar of academic, scientific and business conferences. We provide presentation screens, lectern and radio microphones, recording and multi-camera live streaming, so speakers and remote delegates can take part as easily as those in the room.

Stages, screens and sound in the open air

From talks and screenings to festivals and garden parties, we take the stage, LED screen and PA outside. For Tech and Beer at Cambridge Science Park, we built a truss stage with an LED video wall and sound for an audience on the lawn.

Event Production & AV Hire FAQs

Do you cover all of Cambridge and the surrounding areas?

Yes. We work across the city and the surrounding areas, including Cambourne, Girton, Fulbourn and the business and science parks, as well as further afield including Ely, Cottenham, Waterbeach, Sawston, Bottisham, Whittlesford, Royston, Saffron Walden and Newmarket.

Can you visit our Cambridge venue before the event?

Yes. We offer free, no-obligation site visits, which help us plan power, access, sightlines and the right equipment for the venue and occasion.

Can you live stream our Cambridge event?

Yes. We provide single and multi-camera live streaming and recording of events, so people who cannot attend in person can watch live or view the recording later.

Do you work in Cambridge colleges and historic buildings?

Yes. Over the years we have worked in colleges across the University, including Trinity Hall, Girton, King’s, St Edmund’s, Jesus, Newnham, Peterhouse, St John’s, Lucy Cavendish, Wolfson, Fitzwilliam, Hughes Hall, Queens’, St Catharine’s, Clare, Clare Hall, Corpus Christi, Darwin, Emmanuel, Murray Edwards, Pembroke, Trinity, Christ’s, Churchill, Downing, Gonville & Caius, Homerton, Magdalene, Robinson, Selwyn and Sidney Sussex.

We also work at University sites including Madingley Hall, the Møller Institute, the Isaac Newton Institute, the Centre for Mathematical Sciences, the Museum of Zoology and the David Attenborough Building, the Sports Centre and the Wilberforce Road sports ground. Wherever we work, we plan carefully around listed buildings, delicate interiors and limited access and power.

Which Cambridge venues do you work at?

Hotels and conference centres including The Cambridge Belfry, the Granta Centre, the Møller Institute, Madingley Hall, the Graduate Cambridge, the Cambridge University Arms, Hilton Cambridge, the Gonville Hotel, Holiday Inn Cambridge, Quy Mill Hotel & Spa and Buckingham House.

Wedding venues and country estates including Childerley Long Barn, The Vinery, Barrington Hall, Willow Grange Farm, Histon Manor, Longstowe Hall, Rectory Farm Country House, Waresley Park Estate, Lanwades Hall, Swynford Manor and The Old Hall Ely.

Landmarks, museums and sports venues including The Pitt Building, the Guildhall, the Cambridge Union, Kettle’s Yard, IWM Duxford, Cambridge United Football Club, Cambridge Rugby Club, the Rowley Mile Racecourse and Ely City Golf Club.

Can we hire equipment without a technician?

Yes. Our equipment does not have to be run by our technicians. We can deliver and set it up at venues and private homes around Cambridge, leave you to run it, and collect it afterwards. Or you can collect it from our Huntingdon warehouse and set it up yourself.

Do you hire equipment for private events?

Yes. As well as business events, we supply sound, lighting, screens and staging for weddings, birthdays, anniversaries and other private celebrations, at venues and homes around Cambridge.

Do you provide technicians on the day?

Yes. Our technicians can set up, run the event and pack down afterwards, with a Lead Technical Manager overseeing larger events. The team includes sound engineers, lighting and effects designers and operators, and video technicians, as well as general technical support.

Can you work alongside our venue’s in-house AV?

Yes. We often add to a venue’s own system, for example with extra screens, microphones, lighting or a live stream, and we will always agree the details with the venue beforehand.

How far in advance should we book?

Booking early is always worthwhile, especially for busy periods such as May Week, graduations and the run-up to Christmas. Even at short notice, please get in touch: with a large stock of equipment in our warehouse and our own experienced technical and delivery team, we can usually still help.

Can you help us plan the AV if we don’t know what we need?

Yes. Tell us about the occasion, the audience size and the venue, and we’ll recommend what’s needed. We take pride in understanding what our clients want and in giving honest advice and good value, offering just the equipment you need for a smooth, successful event. We’ll also suggest any extras that could make the occasion even more memorable.
