Professional Event Production for the BASE-UK Conference

Providing high-quality event production is at the core of what we do. For the BASE-UK Conference 2026, we were entrusted with delivering a comprehensive, end-to-end production service for this prestigious two-day event.

Hosted at the Delta Marriott Hotel in Huntingdon, within the Cambridge Suite, the conference brought together like-minded professionals, passionate about regenerative agriculture.

Our role was to ensure the event production matched the importance of the content, providing a professional experience and helping to reinforce the BASE-UK brand identity.

Overview

BASE-UK is an independent organisation dedicated to promoting regenerative agriculture across the United Kingdom. Their annual conference is a key date in the calendar for members and industry professionals, offering a platform for knowledge sharing, discussion, and innovation.

The 2026 conference spanned two days and featured a range of guest speakers, including experienced farmers and industry experts. With a packed schedule of speeches, presentations, and panel discussions, the event required a production partner capable of delivering a high-quality event experience.

AV Xpert was selected to provide full event production services. Our aim was to deliver professional production, enhance the BASE-UK brand, and create high-quality recordings of the event for future use.

Working closely with the organisers, we designed and implemented a bespoke solution, tailored to their exact requirements.

The Solution

To meet the needs of the BASE-UK Conference, we delivered a fully integrated production setup covering staging, displays, lighting, audio, and recording, supported by our experienced on-site technicians.

Staging

We built bespoke staging positioned in front of the venue’s pre-existing projector screen. The staging was custom-built to precise dimensions, ensuring it fit within the room layout and provided a practical platform for guest speakers.

Displays

Visual communication was a key component of the event. We set up a 43” 4K UHD commercial display on stage to showcase content during speeches and presentations. To support attendees seated further back, we deployed two additional 65” 4K UHD commercial displays as repeater screens.

All the displays showed a combination of branded holding slides, presentation content, and custom video material. Our technicians managed video distribution across all displays, synchronising content and using professional switching systems to ensure the right material was shown at the right time.

Lighting

We utilised two Fresnel lights to clearly illuminate guest speakers on stage, ensuring they remained clearly visible to the audience.

In addition, we positioned multiple uplighters around the venue, in customised colours that aligned with the BASE-UK branding. This not only enhanced the visual appeal of the space but also reinforced the organisation’s identity throughout the event.

Sound

Clear audio was critical for a conference of this scale. We provided comprehensive microphone coverage throughout, to ensure everyone was heard clearly. On the stage we placed a lectern featuring two gooseneck microphones for guest speakers, providing consistent and professional sound capture.

As well as this, we supplied wireless lapel microphones for guest speakers to wear, allowing them to move freely and engage more naturally with the audience. Two wireless handheld microphones were also provided for Q&A sessions and panel discussions.

Throughout the space, we strategically positioned four speakers, providing even sound coverage across the space. Our technicians managed all audio through a professional mixing desk, carefully balancing levels to ensure clarity and consistency throughout the event.

Event Recording

Capturing the conference for future use was a key requirement. We deployed two 4K PTZ (pan-tilt-zoom) cameras to record the event across both days.

This multi-camera setup allowed us to capture a range of angles, including wide shots of the stage and close-ups of speakers. The result was high-quality footage that BASE-UK can utilise long after the event concluded.

On-Site Technicians

A dedicated team of AV Xpert technicians was present throughout the event, managing every aspect of the production. From initial setup to operation of equipment and final pack-down, our team ensured everything ran smoothly.
