AV Xpert Support Corporate AGM in European Capital

Building on the successful delivery of our client’s 2024 AGM, AV Xpert was engaged again in 2025 by Aermont Capital LLP to provide technical AV production, this time for an international event. In November 2025, AV Xpert delivered full event production and live streaming for the Annual General Meeting at a prestigious 5-star hotel in a European capital, supporting several days of presentations, discussions, and updates.

Our role was to design and deliver a professional audio-visual setup to ensure a premium user experience for both in-room attendees and remote viewers. Our team oversaw every technical detail of the event, from initial consultation through to final pack-down.

Overview

AV Xpert spent a full week on site supporting the AGM. The event required a high-quality technical setup, including stage presentation, audio coverage, bespoke lighting, and a multi-camera feed for the live stream, ensuring remote viewers had a clear view of the proceedings.

Given the important nature of the event and the stature of the client, production quality was crucial. Our technicians were present throughout the week to manage setup, operation and pack-down of equipment, ensuring continuity and confidence at every stage.

The Solution

Bespoke AV Setup

From the outset, our dedicated account manager worked closely with the Aermont Capital team to understand their objectives and requirements. This collaborative approach allowed us to advise on the most appropriate solutions, anticipate challenges, and ensure the final setup aligned perfectly with the client’s expectations. Every element of the setup was planned in advance to deliver a professional experience for every guest.

Stage and Visual Presentation

A 3m × 4m stage was constructed at the front of the event space to create a clear focal point for presentations. A black curtain backdrop provided a clean, professional finish while eliminating unwanted background distractions for both the audience and live stream. Two strategically positioned Fresnel spotlights delivered focused stage lighting, ensuring presenters were always clearly visible.

The venue’s existing high-definition projection system was integrated with our video switching and presentation equipment, allowing seamless use of the in-house displays. A 43” 4K UHD commercial display was also deployed as a comfort monitor, enabling presenters to view their slides and notes with confidence throughout their sessions.

Audio

Clear, consistent audio was an important requirement for the AGM. AV Xpert provided full microphone coverage, including two gooseneck microphones attached to a lectern, six wireless ear-hook microphones for the main presenters and four wireless handheld microphones for audience participation during Q&A sessions.

To deliver consistent sound throughout the room, we positioned four speakers around the space, providing balanced coverage. This ensured that every participant could hear the presenters clearly, regardless of where they were seated.

Live Streaming Capabilities

For remote viewers, we implemented a live streaming setup using two Canon 4K PTZ cameras. This multi-camera approach ensured we had all the important moments covered throughout the day. Our technicians managed the live stream, switching between the different camera angles to provide an engaging viewing experience.

Breakout Sessions

A dedicated technical setup was also provided for a separate breakout space used for smaller, boardroom-style meetings. This included full microphone coverage of the table using boundary microphones, a high-definition camera to support live streaming, and a compact PA system for clear audio playback. The solution ensured consistent production quality and effective communication within a more focused meeting environment.

The Results

The 2025 Aermont Capital LLP Annual General Meeting was delivered with consistent production quality, clear communication, and a professional event environment throughout.

Staging, audio, lighting, and visual presentation supported effective engagement for both in-room and remote participants, providing a reliable platform for presentations and discussion.

Attendees experienced clear speech reinforcement, controlled lighting, and a focused stage environment, while remote viewers benefited from a high-quality live stream with multiple camera perspectives. The result was a seamless experience across all audiences, ensuring key messages were delivered clearly and without distraction.

By managing the full production lifecycle, from planning through to on-site delivery and de-rig, AV Xpert provided a dependable end-to-end solution aligned with the client’s standards.
