Candidate privacy notice

This notice explains what happens to the details you give us when you apply for a job at AV Xpert. It applies whether you apply through this website, email jobs@avxpert.co.uk, or apply through a job board such as Indeed or LinkedIn that passes your application on to us.

Who we are

AV Xpert Limited is the data controller for your application. If you have a question about anything in this notice, or want to exercise any of the rights below, email jobs@avxpert.co.uk or call 01480 587556. Our main privacy policy covers everything else we do.

What we collect

• What you give us. Your name, email address, phone number, where you live, a LinkedIn or website address if you add one, your CV, your answer to why the role interests you or a cover letter, your answers to the screening questions on the form, and anything else you choose to send.
• What a job board passes on. If you apply through Indeed, LinkedIn or a similar site, they send us the application you made there: the same kinds of details, in the form you gave them.
• What we write. Notes from reading your application, interview notes and scorecards, the summary and score our screening tool produces (see below), and the outcome.
• Technical details. When you use the form on this site we record the internet address and browser it was sent from, so that we can tell a real application from automated spam.

We do not ask for, and do not need, details such as your date of birth, nationality, health or any other sensitive information at the application stage. If you include them in your CV they will be seen only as part of reading it.

How we use it, and why we are allowed to

• To consider you for the vacancy you applied for and to keep in touch with you about it: acknowledging your application, arranging interviews, letting you know the outcome. We rely on our legitimate interest in recruiting for our business, and on taking the steps you have asked us to take before a possible contract of employment.
• To meet our legal obligations if we offer you a role: for example checking your right to work in the UK. We will tell you what we need at that point.
• To keep you in mind for other roles, but only if you tick the optional box on the form asking us to. That is consent, it is entirely your choice, and you can withdraw it at any time by emailing us. Without it, your application is used for the vacancy you applied for and nothing else.

How we read applications

We use an AI tool to help us read applications. It summarises what you have sent and scores it against the advert and our internal requirements for the role, so that a small team can read every application properly and consistently. Its output is advice to the people doing the hiring: every decision about your application, including whether to interview you and whether to offer you a role, is made by a person, never by the tool alone. The text of your application is sent to the tool's provider for that purpose only, under terms that do not allow it to be used to train their models, and with the safeguards UK law requires when data leaves the UK.

The form may also flag an application on arrival where an answer to a screening question does not meet a requirement the advert set out, such as the right to work in the UK. A flag is a note for the reader, not a rejection: your application is still kept and still read.

Who sees it

• The people recruiting for the vacancy, and the managers who oversee recruitment at AV Xpert.
• The provider of the AI tool described above, which processes the text of your application to produce a summary and score.
• The providers of our email and IT systems, which hold our data in the ordinary course of running them.

We do not sell your details, we do not share them with recruitment agencies or other employers, and we never use them for marketing.

How long we keep it

We keep applications, and the notes and assessments we make about them, on our recruitment system indefinitely, so that we hold an accurate record of each recruitment process and can refer back to it if you apply to us again or a question about the process arises later. Documents you attach are kept with the application. If you would rather we did not keep your details, ask us at any time and we will remove them, unless we have a legal reason to keep them. If you join us, your application becomes part of your staff record.

If you asked us to keep you in mind for other roles, we will do so until you tell us to stop.

Your rights

You can ask us for a copy of the details we hold about you, ask us to correct anything that is wrong, ask us to delete your details, ask us to limit what we do with them, object to our using them, and withdraw any consent you have given. Email jobs@avxpert.co.uk and we will respond within a month. If you are unhappy with how we have handled your details you can complain to the Information Commissioner's Office at ico.org.uk, though we would welcome the chance to put things right first.

Changes to this notice

We will update this notice if how we recruit changes. The date at the top tells you when it was last revised, and the current version is always the one on this page.
